Director of Business Development?- Hartford, CT

The Hartford office of Robinson & Cole LLP, an AmLaw 200 firm, is seeking a full-time Director of Business Development to work in our Business Development & Marketing Department. ??

The Director works closely with the Chief Marketing Officer in setting strategic objectives for the department and supervise all firm-wide business development initiatives in alignment with overall firm goals and objectives. The Director will develop a deep understanding of the practice groups’ strengths and market differentiators, including their client base and key market trends.

The responsibilities of this position include, but are not limited to: engaging in the day-to-day oversight of the business development team and coordinate closely with marketing team members to prioritize projects; and develop efficiency improvements; assigning and monitoring assignments and projects of the business development team; executing strategies that will help advance the Firm's strategic plan, grow revenue, retain clients, and build and protect the Firm’s brand and reputation, including: leading the business development team to support practice groups on business plan development, ensure consistent implementation of key client service, growth and entertainment initiatives; and ensure consistent alignment of practice group strengths in all messaging including website, blogs, lawyer bios, membership/directory listings and designed collateral; and overseeing lateral integration program and ensure consistent onboarding of lateral partners including integration of their clients into the firm and cross-selling their clients to our lawyers and vice versa.

Qualified candidates will have the following:

  • Bachelor’s degree in marketing, communications, journalism or related field
  • Minimum 10+ years of tactical and strategic business development and marketing experience in a legal, consulting or comparable professional services firm
  • A focus on business or marketing and project management and an interest in legal, commercial, or business issues
  • Law firm experience strongly desired
  • Proficient in Word, Excel and PowerPoint, and familiar with research and client/contact databases

Firm Initiatives Coordinator?- Hartford, CT

The Hartford office of Robinson & Cole LLP, an AmLaw 200 firm, is seeking a full-time Firm Initiatives Coordinator to work in our Business Development & Marketing Department. ??

This position will actively engage internal audiences on a firm-wide basis in an effort to further build and strengthen the firm’s dynamic culture. This role works closely with the Talent Management and Business Development & Marketing Departments to facilitate projects that connect employees through timely, relevant and credible communications and activities that directly influence employee engagement.

The responsibilities of this position includes, but is not limited to: coordinating internal communications to raise awareness of initiatives and opportunities that fuels employee engagement, influences connectivity and culture, positively impacting all offices; engaging in a support role with firm committees and initiatives, including but not limited to Diversity, Equity & Inclusion, Recruiting, Women’s Committee, Alumni Relations: assisting in the planning, coordination and execution of internal employee events (town halls, small group meetings; speakers, etc.) as needed and appropriate, including invitations, zoom/room assignments and attendance tracking and maintaining updates of website descriptions and other collateral materials for external-facing Firm initiative descriptions and internal SharePoint team page updates; working with members of the marketing team to leverage new technologies where possible, helping the firm communicate seamlessly and naturally with employees; and implementing metrics reports to measure effectiveness of internal communication channels with the goal of continuously improving reach and employee engagement.

Billing Specialist?- Hartford, CT

Robinson & Cole LLP, an AmLaw 200 firm, is seeking a Billing Specialist, preferably in its Hartford office.?

Under the supervision of the Billing & Accounts Receivable Manager, and following prescribed department, office and firm procedures, the Electronic Billing Specialist is responsible for the electronic preparation of monthly pre-bills, maintaining the billing filing system, monitoring the e-billing process, creating, uploading and monitoring electronic bills through payment, and ensuring that special billing arrangements are carried out.? The Electronic Billing Specialist is expected to perform all responsibilities with a commitment to providing superior service to the firm’s clients, attorneys, and staff, while maintaining an atmosphere of teamwork and continuous improvement.

Responsibilities:

  • Prepares and processes monthly prebills/bills in accordance with the guidelines of the Firm and the various requirements/guidelines of our clients in conjunction with any special agreements that may exist for a particular client.
  • Reviews prebills to verify that they are accurate and complete, including but not limited to the review of rates and time narratives.
  • Tracks the return of prebills and follows-up with the appropriate LAA for missing prebills to ensure accuracy of WIP.
  • Edits prebill as appropriate in Aderant, PreBill Viewer, or similar CMS software.
  • Invoices matters to the specification of each attorney while adhering to client billing guidelines.
  • Electronically bills or delivers invoices as outlined by delivery mode.
  • Enters additional documents requested by client, such as invoice summaries, excel spreadsheets, formula charts and budgets.
  • Addresses rejection issues on all electronic invoices by closely working with Attorneys for resubmissions on appeals, budget changes, timekeeper additions, as well as rate issues.
  • Assists with Matter Maintenance and New Matter Intake as needed to ensure e-billing needs are preemptively met.

Qualifications:

  • Two or four year college degree preferred, with specialization in law firm accounting or finance highly preferred
  • Minimum of three years of experience in some combination of billing, accounting, credit and administration
  • Proficiency in the MS suite of products
  • Experience with Aderant or a similar CMS software is a plus
  • Electronic billing experience with E-Billing Hub, E-Bill Vendor sites a plus

Support Analyst - Hartford, CT

The Hartford office of Robinson & Cole LLP, an AmLaw 200 firm, is seeking a full-time Support Analyst to work in our Information Technology Department. ??

This position will be responsible for the operational and technical remote and desk-side support of office technology to ensure uninterrupted service to end users with a focus on customer service and continuous improvement.

The support responsibilities of this position may include varying levels of accountability in the following areas: Help Desk support, network maintenance, installation and upgrades, and the implementation of new software programs and operating systems. Specific duties include but are not limited to participating in On Call after-hours coverage rotation; recording, managing, and tracking incident and request resolutions, using the appropriate database/software; configuring and deploying workstations, laptops, and mobile devices in compliance with the Services Department standards; implementing new application programs and operating systems, ensuring consistency with established protocols; and supporting multimedia presentations, meetings, and video conferencing systems.

Qualified candidates will have the following:

  • Associates degree or equivalent experience in a related field
  • Minimum of five years of experience in an IT support services role
  • CompTIA, ITIL, and MS certifications are preferred
  • Must be amenable to travel to support office moves, provide coverage, and/or implement new technology

Outside Counsel Guidelines Coordinator - Hartford, CT

The Hartford office of Robinson & Cole LLP, an AmLaw 200 firm, is seeking a full-time Outside Counsel Guidelines Coordinator to work in our Information Governance & Business Intake Department. ??

Under the direction of the Director of Information Governance and Business Intake (“the Director”), the Outside Counsel Guidelines Coordinator is primarily responsible for coordinating firm-wide activities related to Client Outside Counsel Guidelines and other client commitments. This position will act as the subject matter expert related to OCGs and ensure the firms central repository, presently Intapp Terms, is complete and up to date.

Duties include, but are not limited to:

  • Assist Director of Information Governance & Business Intake with circulating authoritative OCGs to matter teams and affected administrative teams
  • Responsible for OCG lifecycle management and firm compliance with OCG Policy
  • Work closely with client intake team, information technology team, and marketing team to ensure all OCGs are managed centrally
  • Add, track and maintain engagement letters and client issued guidelines in centralized repository
  • Perform review of client-issued guidelines, identify and tag relevant provisions for firm subject matter experts and General Counsel using software solution
  • Coordinate with billing attorney to track client responses and authoritative copy of OCGs
  • Ensure authoritative copy of OCGs are captured in centralized repository and periodic reminders are sent to matter teams regarding compliance with OCGs
  • Administer OCG software solution; maintain and update configurations as needed

Qualified candidates will have the following:

  • Minimum of 3-5 years of experience
  • Prior conflicts of interest experience in a law firm preferred
  • Intapp Suite including Intapp Terms a plus
  • Bachelor’s degree or equivalent combination of education and/or experience. JD a plus but not required.
  • Excellent written communication skills and the ability to draft and execute complex communications including policies and procedures, instructional documents
  • Superior interpersonal skills, including strong oral communication skills and the ability to communicate detailed legal information to personnel at all levels
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and adjust to changing priorities in a professional manner
  • Strong research skills, including via internet, databases, and other sources
